We are the Data Controller for the personal data we collect and process.

  • PARQ/health questionnaire responses (e.g., medical conditions relevant to safe exercise)

  • Emails you send to us (including metadata such as IP addresses) 
  • RunTogether booking and attendance details (if using the platform)

We do not collect unnecessary data about you.

To deliver coaching services, including:

We only share your data where necessary and appropriate:

  • RunTogether: If you book through RunTogether, your data is processed under RunTogether/England Athletics policies.
  • Emergency services: In the event of an incident during a session.
  • Legal or regulatory requirements: If required under UK law. 
  • Other professionals: Only with your explicit consent (e.g., physiotherapists or medical practitioners). 

We do not sell or trade your data.


6. How We Store and Protect Your Data

We take reasonable technical and organisational steps to protect your information, following data‑protection expectations set out by:

  • ICO guidance for small businesses
  • England Athletics club GDPR frameworks 

Measures include:

  • Secure, password‑protected digital storage
  • Limited access to coaching information
  • Confidential handling of any paper PARQ forms or notes
  • Secure destruction of unneeded data

7. Data Retention

We retain personal data only for as long as necessary:

  • Coaching session notes: up to 7 years to meet professional‑insurance requirements 
  • PARQ/health forms: kept securely and reviewed periodically
  • Booking/attendance data: retained for up to 2 years
  • Emails: retained according to communication relevance
  • Data for minors (if applicable): retained until 7 years after turning 18

Under UK GDPR you have the right to:

  • Access your personal data
  • Request correction of inaccurate data
  • Request deletion (“right to be forgotten”) when applicable
